As part of our leadership team, the Executive Assistant will help ensure our operations, events, and projects run seamlessly in Australia and across global markets.

The Role: What You’ll Do

You’ll be the backbone of our operations — supporting senior leadership, coordinating high-stakes projects, and acting as a trusted point person across teams. No two days will be the same. Your work will directly contribute to our organisation’s impact. Key responsibilities include:
  • Manage complex calendars, meetings, and travel logistics (domestic & international)
  • Act as gatekeeper and filter for communications — emails, calls, correspondence
  • Support event planning, productions, and special projects from concept through delivery
  • Oversee budget tracking, invoice processing, and expense reporting
  • Maintain and update internal systems: CRM, report dashboards, task management tools
  • Liaise with external partners, suppliers, collaborators, and talent
  • Monitor deadlines, follow up on tasks, and ensure nothing slips through the cracks
  • Occasionally assist with high-level administrative or strategic tasks as required

Exprerience Details

Who You Are: What We’re Looking For

You are proactive, resourceful, polished in communication, and thrive in fast-paced environments. You take ownership, anticipate needs, and bring order to chaos. Essential experience & skills:
  • 5+ years’ experience as an EA, operations manager, or senior administrative role
  • Demonstrated excellence in organisation, time management, and prioritisation
  • Experience in events or project management
  • Outstanding written and verbal communication skills
  • Comfortable with technology — CRM systems, project management software, cloud tools
  • Ability to maintain discretion, exercise judgement, and handle confidential matters
  • Calm under pressure, adaptable to shifting priorities, and committed to follow-through
