Role Title: Secretary Purpose of the Role: The Secretary will provide high-level administrative support, streamline communication flow, manage diaries, and handle formal documentation for executive meetings and decisions to ensure the organisation runs smoothly. Key Responsibilities:- Manage executive diaries, arrange meetings and appointments, and ensure all relevant paperwork is ready.
- Schedule meetings, prepare official agendas, and take accurate, detailed minutes.
- Handle incoming and outgoing correspondence, answer inquiries via phone/email, and distribute critical updates to the team.
- Organize, scan, and maintain official organizational records, legal documents, and internal policies.
- File, update, and maintain contact information for clients, team members, and partners.
- Maintain a high level of confidentiality, storing sensitive information securely.
- Implement and develop efficient office procedures and handle ad-hoc secretarial duties as required.
Exprerience Details
- Prior experience as a secretary, personal assistant (PA), or executive assistant is preferred.
- Exceptional note-taking, drafting, and professional written/verbal communication skills.
- Exceptional organizational skills, close attention to detail, and strong time-management capabilities.
- Proficient in main office computer programmes (Microsoft Office and Google Workspace).
- Ability to work independently or within a team environment in a professional manner.
- Reliable, proactive, flexible, and able to work under pressure to meet tight deadlines.
